Templar Media is looking for an experienced Executive Assistant to provide direct support to our leadership team during a maternity leave coverage, with the potential to transition into a long-term Administrative Assistant role focused on finance and legal operations.

About the Role:

In the short term, the Executive Assistant
will play a key role in supporting studio leadership through an important period of growth and organizational change. You’ll handle a variety of executive-level duties, including scheduling, HR coordination, financial administration, travel arrangements, and legal document management. You’ll act as the connective tissue across departments—ensuring operations run smoothly and communication stays clear.

In the long term, this role will transition into an Administrative Assistant position with a focus on project managing finance and legal workflows, helping maintain efficient systems, ensure compliance, and support continued studio operations.

Responsibilities:
Maternity Coverage (Short-Term Focus):

  • Provide direct executive support to the CEO and leadership team, managing calendars, priorities, and communications.
  • Coordinate HR-related processes, including onboarding, recruitment scheduling, and policy updates. 
  • Assist with company finance administration, including expense tracking, budget coordination, and invoice management. 
  • Manage travel logistics and scheduling for studio and partner meetings. 
  • Support legal workflows, including document preparation, filing, and coordination with external counsel. 
  • Maintain organization during a period of major business changes, helping ensure smooth transitions and strong internal communication.
     

Post-Coverage (Long-Term Focus):

  • Transition into an Administrative Assistant role specializing in finance and legal coordination. 
  • Project manage financial and legal workflows, ensuring documents, budgets, and contracts stay organized and on schedule.
  • Support quarterly financial reviews and internal reporting processes. 
  • Maintain and improve systems for documentation, record-keeping, and compliance tracking. 
  • Collaborate with leadership to streamline administrative operations across departments.
 

Qualifications:

  • 3–5 years of experience as an Executive Assistant, Administrative Coordinator, or similar role. 
  • Strong organizational and multitasking skills with excellent attention to detail. 
  • Proven ability to handle sensitive information with discretion.
  • Experience supporting finance and/or legal teams or managing related documentation.
  • Proficiency with Microsoft Office and Google Workspace; familiarity with project management tools (such as Notion, Asana, or JIRA) a plus. 
  • Excellent written and verbal communication skills.
  • Ability to work independently while maintaining collaboration with multiple departments.
  • Professional, proactive, and adaptable attitude—comfortable with evolving priorities.
 

Preference to Applicants With:

  • Experience in creative, entertainment, or tech industries.
  • Familiarity with accounting workflows, invoicing systems, or contract management tools.
  • A background supporting senior leadership through periods of rapid change or studio growth.
  • An interest in staying long-term and growing into a key administrative operations role.
